Job Title: Administrative Assistant for International Ministries

Supervision: VP of International Ministries and Mobilization

Job Purpose & Summary: The Administrative Assistant for International Ministries provides comprehensive administrative and operational support to the Vice President of International Ministries and collaborates with various World Gospel Mission teams to facilitate the effective planning, coordination, and execution of departmental initiatives. This role serves as a key contributor to the day-to-day operations of the International Ministries department, helping advance the organization’s global mission through exceptional organization, communication, and service.

Location: Peoria, Arizona, campus

Employment Status: Full-time

FLSA Status: Nonexempt

Main Responsibilities:

  • Manage and prioritize email communications for the Vice President of International Ministries.
  • Maintain the Vice President’s calendar, coordinating appointments, meetings, travel, and related logistics.
  • Arrange registrations, lodging accommodations, transportation, and flight reservations as needed.
  • Assist in planning, coordinating, and executing International Ministries events, including retreats, trainings, conferences, IMPACT, and other ministry initiatives.
  • Attend International Ministries team meetings, record meeting notes, and track follow-up actions to support implementation.
  • Compile, format, and distribute the monthly Global Missionary Report.
  • Prepare and process expense reports using Expensify for International Ministries American Express and MasterCard accounts.
  • Coordinate with the Information Technology department to obtain reports and data needed by International Ministries throughout the year.
  • Coordinate with the Director of Mobilization to keep materials and supplies updated and stocked.
  • Provide administrative support for special projects and perform other duties as assigned by the supervisor.

Special Requirements:

  • High school diploma or equivalent required.
  • Previous experience in administrative support, office coordination, or related roles preferred.
  • Missional, cross-cultural, or international ministry experience preferred.
  • Demonstrated ability to work effectively within a collaborative team environment.
  • Strong interpersonal and relationship-building skills.
  • Proficiency in Microsoft Office applications and database systems.
  • Ability to prioritize tasks, manage multiple responsibilities, and meet deadlines.
  • Strong organizational skills with exceptional attention to detail.
  • Professional appearance and demeanor consistent with organizational standards.
