Job Title: Administrative Assistant / TCK/MK Ministries
Supervision: Director of Member Health, and in collaboration with MK Coordinator
Job Purpose & Summary: To work closely with the Member Health Department to develop and assist in meeting the goals of healthy global workers reaching their full potential in ministry service.
Employment Status: Full-time
FLSA Status: Non-exempt
Main Responsibilities:
- Participate in programing and curriculum development and implementation for Third Culture Kids/Missionary Kids (TCKs/MKs) to address debriefing and transition related support
- Attend trainings, conferences, and webinars to keep up to date on curriculum development (TCK Training, MK Caregivers Summit).
- Implement these curriculums and TCK/MK care in WGM’s programs.
- Assist global worker parents in knowing resources available for addressing educational and curriculum needs for TCKs/MKs
- Networking with PACE education consultants and other mission orgs to share information with parents.
- Coordinate responsibilities/care related to TCKs/MKs at WGM functions (such as securing childcare workers, background checks and training of workers)
- Implement curriculum for TCK/MKs at events like FOCUS, RENEWAL, BUILD, IMPACT etc.
- Hire and arrange for caretakers to have at least 2 adults with each age group (work with MK Coordinator on this).
- Work with HR for background checks for new care takers.
- Work with Mobilization to get schedules for BUILD and FOCUS.
- Work with IM to get schedule for IMPACT and other events when applicable.
- Coordinate especially with MK Coordinator for these events; main responsibility is to ages 12 and under group of TCKs, but will work with teens, too, as necessary.
- Develop and maintain relationship with TCKs/MKs and their families
- Send birthday cards to WGM TCKs/MKs under 25 (and not married).
- Reach out to Parents regularly and pray for TCKs/MKs under your care.
- Communicate with TCKs/MKs when appropriate (arrange with parents).
- Field visits and facilitate TCK/MK retreats when appropriate
- When possible, visit families on their fields. Relationships are best developed in this setting.
- When invited, or let fields know of your interest in providing TCK/MK programing during their team retreats.
- If going to help provide programing for field retreats, work with Area Team Leaders (ATL) or their appointee to coordinate visits to families as appropriate.
- Stateside visits for those global worker families when appropriate.
- Assist the Director of Member Health (DMH) in the implementation of WGM Child Safety and Protection Training (CSP) for all WGM employees and assure all are in compliance with the training according to the WGM Policy on CSP
- Maintain and update records for ALL employees, including Mid-Termers, Global Workers, and HQ Support Staff to ensure they have maintained up to date CSP training. Every worker needs to have CSP Training BEFORE going to the field and once every 3 years.
- Send out assignments and grade quiz responses, communicate with workers where they are in the process.
- Assist DMH in different trainings and coordinating attendance at these trainings.
- Work with Mid-Termers Coordinator on WGM Dashboard for MTV’s CSP training and documentation.
- Track training of all WGM employees in Paycor.
- Assist and support the DMH with reports, presentation development, data entry, and other duties/responsibilities as requested and assigned.
- PowerPoints; receipting for expense reports; data entry for various platforms, i.e., Paycor and WGM Database; general assistance to the DMH and the Member Heath team as needed for the HQ Offices.
- Office supplies anticipated and kept in place (i.e. printing cartridges and paper, office supplies).
- Assisting with Renewal Planning and preparation, three times per year. Prepare and send invitations and tracking of RSVPs, preparations of documents, etc. as needed. Be present for each Renewal and assist with hosting the event. Childcare Programing and communication of all is done in coordination with MH Dept.
- Secretarial assistance with minutes of MH Team Meetings and other clerical responsibilities. Overseeing MH Travel Calendar and events calendar for the departmental travels etc.
- Manage the MHD WGM Mission Control and web pages
- Work with IT in keeping the WGM Member Health page up to date and accurate on Mission control. A big part of this is the resources section mentioned below.
- Maintain updated Member Health Resources for Missionaries and TCKs/MKs
- As you or the team comes across helpful resources for our Global workers and their families, keep an updated list of resources on Mission Control. For example: podcasts, books, devotions, websites, retreat homes, etc.
Special Requirements:
- Full endorsement and acceptance of the WGM Statement of Faith and Core Values
- Third Culture Experience working with children and youth
- Experience in program development and ability to utilize and enhance curriculum for TCKs/MKs
- Proven record of participation and contribution to a growing and developing team
- A teachable and cooperative spirit within a ministry setting
- Willingness and intentionality in continuing to learn about MK care
- Ability to travel
- Experience with computer applications and function
Qualifications:
- Bachelor’s degree in psychology, education, Christian ministries, human services or related fields
