Supervision: President
Job Purpose & Summary: The Executive Assistant to the President provides high-level administrative, operational, and strategic support to the President of WGM and assists the Executive Team as needed. This role exercises sound judgment, maintains strict confidentiality, and advances the organization’s mission.
Location: WGM Headquarters (Marion, Indiana)
Employment Status: Part-time
FLSA Status: Non-Exempt
Main Responsibilities:
- Manage the President’s calendar, email, appointments, meetings, and travel arrangements (international and domestic).
- Prioritize and coordinate requests for the President’s time and attention by screening and managing incoming communications, ensuring timely responses and follow-up.
- Prepare correspondence, reports, thank you notes, document notarization, expense reports, invoice routing, presentations, agendas, and other documents, including entering donor meeting information in Raiser’s Edge.
- Coordinate the planning, hosting and implementation of special events, retreats, and training events for the President creating a hospitable environment for missionaries, staff and visitors.
- Attend all Executive Team meetings and take minutes ensuring action items are implemented.
- Assist the Executive Team to schedule WGM chapels, book speakers, and coordinate other details necessary for chapel.
- Update and send out upcoming chapel information through Outlook calendars ensuring announcements go to board, global workers, support staff and retirees.
- Assist in board meeting preparation, donor events, and other events as needed, i.e. ordering meals for meetings, organizing food and drink for various on-site and off-site events.
- Assist with Board Meeting preparation (March and October).
- Assist with planning for the WGM Commissioning Service (music, program, set up Teams link, and coordinate board members to pray for global workers being commissioned).
- Coordinate and attend Executive Team Strategic planning and retreats (August and December) adding support as needed.
- Assist Human Resources department with Retiree and Alumni Retreat (September) as needed.
- Assist International Ministries team with IMPACT conference (every 3 years) with preparations as needed.
- Conduct other assignments as requested by supervisor.
Special Requirements:
- Ability to read, write, speak and understand the English language.
- Be of good moral character.
- Excellent hospitality and customer service skills.
- Must be organized and detailed.
- Should reflect WGM’s philosophy of embodying Christ-like love through incarnational ministry which is motivated by a personal commitment to Jesus Christ overflowing in serving others.
Qualifications:
- High School diploma or equivalent.
- Preferred background with missional/cross-cultural experience.
- Ability to excel in a team environment.
- Excellent interpersonal relationships and hospitality skills.
- Proficient in MS Office software and ability to learn donor database software (Raisers Edge).
- Ability to set work product priorities.
